    The primary purpose of the Payroll Manager is to supervise payroll representatives, ensure that all processes are executed appropriately and in a timely manner. This position operates as the subject matter expert and escalation point to resolve issues and continuously looks to make improvements in operational processes/designs and implements these initiatives. This position optimizes the contribution of the team through coaching and implements workable solutions to business issues with minimum referral to management.

    The person in this position will prioritize to optimize performance of the team and work with finance and the SVP of HR to define standards and reusable approaches for Payroll operations. This individual manages effective internal and external customer relationships within own area of responsibility and builds customer relationships in the wider group or company. Incumbent will follow the current federal, state and local standards, guidelines and regulations that govern long term care and assisted living facilities.


    Team Management: 50% time

      • Supervise Payroll staff and prepare work schedules to ensure appropriate coverage
      • Facilitate weekly team calls and meetings
      • Implement and train staff on all systems
      • Assist in monitoring workload and evaluate direct reports
      • Ensure team members acquire necessary skills and performance attributes, in line with business and personal development needs
      • Provide guidance to and share knowledge with colleagues and team members relating to their own specialization
      • Supervises, hires, disciplines and evaluates payroll employees
      • As needed, work on site at individual communities to support the payroll function
      • Participates in interview process
      • In conjunction with SVP, creates annual team objectives
      • Train team members on new or enhanced operation procedures and policies
      • Cover for team members in back-up role for vacation and/or high-volume work efforts
      • Directs work within clear budgetary guidelines
      • Supports HR team initiatives

    System Management and Reporting: 25% time

      • Monitor payroll systems and databases
      • Perform regular audits on the database to uphold data integrity
      • Assist and monitor Labor Audits
      • Assist with EEOC claim reports
      • Monitor compliance with wage scales, as well as other related facility policies (i.e. bonuses, shift differentials)
      • Escalate potential service issues to SVP/Director of Accounting
      • Keeps apprised of federal, state and local payroll laws and regulations in order to ensure company compliance
      • Implement quality control measures

    Program Development and Management: 25% time

      • Monitor the effectiveness of existing payroll policies, guidelines and procedures recommending revisions to be consistent with payroll trends and company objectives
      • Develop and execute systems and procedures
      • Develop techniques for compiling, preparing and presenting data
      • Identify process improvement initiatives and define standards for new processes

      • Knowledge of federal and state regulations as they apply to payroll base and incentive payroll programs, company policies and operations
      • Skills in Google and Microsoft platforms (intermediate)


    Education: Associates Degree or Certified Payroll Professional certification (required)

    Experience: Minimum of 5 years of progressively responsible payroll experience; experience in Paylocity payroll system (preferred); supervisory experience (strongly preferred)


      • Travel required in personal or company vehicle
      • Must maintain a valid, unrestricted Colorado driver’s license
      • Classification: non-exempt
